Task/Problem Overview

There are 3 types of Part Numbers that can be associated with inventory items: Alias, Substitution, and Complementary Part Numbers. These Part Numbers allow you to streamline the process for creating quotes and adding items. This article will go into each type of part numbers available.

To get started, open up the Product Info section for any part number. There will be a section for each Part Number type. The Product Info section can be reached by going here: Inventory > Inventory Manager > Item Manager > (search item) > Product Info

Alias Part Numbers

Alias Part Numbers are alternate Part Numbers for the current inventory item. This feature would be very useful if you have a long part number and want to type in something shorter to bring it up. This feature can be found near the top-right of the Product Info.

To add an Alias for this item, click the ‘+Add’ button and it will bring up the following window:

Simply type in the Alias that you would like for this item. Each item may have any Alias, as long as the Part Number does not already exist. Once you have added the item, it will show up on the list as seen below. You may add multiple Aliases if necessary.

Substitution Part Numbers

Substitution Part Numbers are part numbers of items that can replace this item if it is out of stock. So if there are no available parts left, a substitution part can be added to the quote instead. This feature can be found near the middle-right of the Product Info.

To add a Substitution for this item, click the ‘+Add’ button and it will bring up the following window:

Click on the binoculars icon to select the item you would like to be a Substitution Part Number. This item must already exist in the system. Then you also may add a comment to show why the item was added as a Substitution. You may add multiple Substitutions if necessary.

Now let's say you are adding this item to a quote, and there are no parts left in stock. You will see on the right-side of Enterprise in the Substitution Parts section that the Substitution Part Number you added shows up. Simply click Substitute to have the original item removed and the substitute item automatically added in.

Complementary Part Numbers

Complementary Part Numbers are part numbers of items typically associated with or purchased with another item. For example, let's say you have an item that requires batteries sold separately. You can recommend to the user who has created the quote to add the batteries to the quote since they go along with this item. This feature can be found near the bottom-right of the Product Info.

To add a Complementary Part Number, click on the ‘+Add’ button and the following window will appear:

Click on the binoculars icon to select the item you would like to be a Complementary Part Number. This item must already exist in the system. Then you will need to add a quantity, which determines how many of the selected items will be added to the quote. You also may add a comment to show why the item was added as a Complement. You may add multiple Complements if necessary.

If you would like to add these items to a quote, you will first have to add the original item to the quote. Then you will notice on the right-side of Enterprise that there is new information in the Complementary Parts section. Simply click Add X to Quote in order to add this item right to the quote (where X is number that you chose when adding the Complementary Part Number.)
